Make Memoir, Inc. (“Make Memoir,” “we,” “our,” or “us”) is a family storytelling service based in Lincoln, Nebraska. This Privacy Policy describes how we collect, use, and protect information about you when you use our website and services at makememoir.com.

By using Make Memoir, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the service.

We collect the following categories of information:

• Account data: Your name, email address, and billing details when you create an account and subscribe. Payment card details are processed directly by Stripe and never stored on our servers.
• Storyteller information: The name, email address, phone number, and relationship details you provide for the person whose stories you are capturing.
• Recordings and stories: Video recordings uploaded by storytellers, AI-generated transcriptions, and written stories derived from those recordings.
• Usage data: Browser type, pages visited, session duration, and other technical information collected automatically when you use the service.
• Device metadata: Device type, operating system, and browser version for compatibility and support purposes.
• Communications: Messages you send to our support team and any feedback you provide.

We use the information we collect to:

• Deliver weekly storytelling prompts and process recordings
• Generate AI transcriptions and written stories from recordings
• Produce and ship the year-end hardcover book
• Send transactional emails (prompt delivery, recording confirmations, book shipping updates)
• Process subscription payments and manage your billing
• Provide customer support
• Improve the reliability, safety, and quality of the service
• Comply with legal obligations

We do not use your content for marketing purposes without your explicit consent.

We do not sell your personal information. We share information only in the following limited circumstances:

• Service providers: Cloud storage (for recordings), AI transcription providers, book printing and fulfillment vendors, payment processor (Stripe), and email delivery providers. All service providers are bound by data processing agreements that prohibit them from using your data for any purpose beyond delivering our service.
• AI processing: Recordings are processed by an AI transcription service under a strict data processing agreement that prohibits training AI models on your content. We do not use your recordings, transcripts, or stories to train any AI models.
• Legal requirements: We may disclose information when required by law, court order, or to protect the rights, property, or safety of Make Memoir, our users, or the public.
• Business transfers: In the event of a merger, acquisition, or sale of assets, user data may be transferred. We will notify you by email before your data is subject to a materially different privacy policy.

• Recordings, transcripts, and stories are retained for the duration of your active subscription plus 30 days after cancellation, giving you time to download your data. After 30 days, they are permanently deleted.
• Account and billing records are retained for 7 years to comply with tax and financial recordkeeping requirements.
• Support communications are retained for 3 years.

If a storyteller passes away during an active subscription, their recordings and stories are not auto-deleted. Access remains available to the account holder for the full paid period. Please contact us if you need assistance.

You have the following rights with respect to your personal information:

• Access: Request a copy of the personal information we hold about you.
• Correction: Request that we correct inaccurate or incomplete information.
• Deletion: Request deletion of your personal information. Note that some data must be retained for legal compliance.
• Portability: Download all your videos, transcripts, and story text directly from your account settings at any time.
• Opt-out: Unsubscribe from marketing emails at any time using the unsubscribe link in any email.

California residents have additional rights under the CCPA, including the right to know what personal information is sold or disclosed (we do not sell personal information) and the right to non-discrimination for exercising your rights.

EU and UK residents have rights under the GDPR, including the right to lodge a complaint with your local data protection authority.

Make Memoir is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

We take the security of your family’s stories seriously. Our security measures include:

• All data transmitted over TLS 1.2 or higher
• Video recordings and stories encrypted at rest (AES-256)
• Signed, time-limited URLs for all recording access — no files are publicly accessible
• Strict access controls limiting employee access to user data
• Regular security reviews

No method of transmission over the internet is 100% secure. While we use commercially reasonable measures, we cannot guarantee absolute security.

We may update this Privacy Policy from time to time. For material changes, we will notify you by email at least 30 days before the change takes effect. The updated policy will always be available at this page with a revised effective date.
